This Refund Policy outlines the cancellation and refund terms for services offered by Spencer Knows Fitness. We aim to be transparent and fair in all financial matters. If you have questions before purchasing, please contact us at [email protected] or +1 408-990-3827.
Single personal training sessions may be cancelled or rescheduled without charge if notice is provided at least 24 hours before the scheduled session start time. Cancellations with less than 24 hours' notice, or no-shows, will be charged the full session fee.
Pre-purchased session packages (e.g., 5-session or 10-session packs) are non-refundable once sessions have begun. Unused sessions from a package may be refunded on a pro-rated basis if requested within 30 days of purchase and before any sessions have been used, subject to a 10% administrative processing fee.
Session packages expire 6 months from the date of purchase. Expired sessions are not eligible for refund or extension except in documented medical emergencies, which will be reviewed on a case-by-case basis.
Individual class registrations may be cancelled for a full credit toward a future class if cancelled at least 12 hours before the scheduled class time. Cancellations within 12 hours of class, or no-shows, are not eligible for credit or refund.
Group class memberships (monthly recurring) may be cancelled by providing written notice at least 7 calendar days before the next billing date. Cancellations received after this window will take effect at the end of the following billing period. No pro-rated refunds are issued for partial months.
Online coaching subscriptions are billed monthly in advance. You may cancel your subscription at any time by contacting us in writing. Your coaching access will continue through the end of the current paid month. We do not issue refunds for partial months of online coaching service.
If you are dissatisfied with your coaching experience within the first 14 days of your initial subscription month, please contact us directly. We will review your situation and work to find a fair resolution, which may include a partial or full refund at our discretion.

Approved refunds will be processed using the original payment method within 7–10 business days of approval. Processing times may vary depending on your bank or payment provider.
We understand that unexpected life events happen. In cases of serious illness, injury, or documented family emergency, we will review refund requests outside the standard policy windows with empathy and flexibility. Please reach out directly so we can find a solution that works for you.
Spencer Knows Fitness reserves the right to update this Refund Policy at any time. Clients enrolled in active services will be notified of material changes with at least 14 days' advance notice.
